These policies ensure that every session at Wild Hart Massage is safe, clear, and respectful for both client and practitioner.
- A credit card is required to reserve all appointments. Payment is due at the time of your session.
- Cancellations made more than 24 hours in advance will not be charged.
- Cancellations made within 24 hours of the appointment time will incur a $50 fee charged to the card on file.
- Missed appointments without notice may be charged the full session fee at the therapist’s discretion.
- Each appointment time is reserved specifically for you. When a session is canceled late or missed, it prevents another client from receiving care. We understand that life happens—if something unexpected arises, please reach out as soon as possible so we can work with you.
- Wild Hart Massage does not store credit card numbers or payment details. All transactions are handled by secure third-party processors (such as Square or Stripe).
- Any refunds are processed through Square and may take 4–14 business days to appear, depending on your bank’s processing times.
- If you arrive late, your session may need to be shortened to keep the day on schedule. The full session fee still applies.
- If you arrive more than 15 minutes late, the appointment may be considered a no-show.
- Series are available in 3 and 7 session formats.
- They do not expire but are intended for use within 3–6 months to support consistent care and cumulative benefits.
- Series are for individual use only and are non-transferable.
- Gift certificates may be redeemed for any service.
- In compliance with Oregon law, they never expire and never carry fees.
- Lost or stolen certificates cannot be replaced.
- Wild Hart Massage follows Oregon Board of Massage Therapists requirements.
- Draping is used at all times — only the area being treated is uncovered. Genitals, breasts, and all non-treatment areas are always covered and never touched.
- Clients may request adjustments at any time, and you always have the right to decline techniques or stop a session. Comfort and consent guide every treatment.
- Clients under 18 must have a parent or guardian in the room at all times.
- If the parent or guardian leaves for any reason, the session will be paused until they return.
- Written consent is required before treatment begins.
- If at any point the child withdraws consent, the session may end early. The session fee will still apply in full, as safety and respect for the child’s boundaries are the priority.
- Please reschedule if you are ill, contagious, or running a fever. Massage is not appropriate in these conditions.
- Certain medical issues may require adaptation or a doctor’s clearance — please share any relevant information ahead of your session.
- Each week, Forest Hart provides two community sessions at a reduced rate.
- Each week, Liza Patterson will provide one community session at a reduced rate.
- Community sessions are offered first come, first served, and are at the discretion of the therapist.
- These sessions help make care more accessible while ensuring sustainability for our practitioners.
- The Portland location is on the second floor without elevator access, and is not wheelchair accessible at this time. Please contact us with any accessibility needs so we can do our best to accommodate your needs.
- With client consent, Wild Hart Massage may use audio recording during intake or occasionally during a session for note-taking.
- Recordings are stored on HIPAA- and SOC 2–compliant servers for no more than 14 days.
- Recordings are transcribed using secure AI software, and only relevant details are added to your treatment file (kept in HIPAA-compliant records software).
- All other content is permanently deleted.
- A signed release form is required at or before your initial session. You may decline recording at any time, and your care will not be affected.
- Clients sometimes need to share sensitive information with their therapist. If you would prefer something not be documented in writing, please state this before disclosure. Your therapist will honor this request unless the information falls under legal requirements for reporting.
- Beginning January 1, 2026, under Oregon law (HB 3819), all Licensed Massage Therapists will be mandatory reporters. This means therapists are legally required to report concerns of child abuse, elder abuse, or abuse of vulnerable adults if disclosed or observed. These reports must be made even if the client requests otherwise. Only the minimum necessary information will be disclosed.
- Wild Hart Massage is also subject to existing Oregon laws (ORS 676.150 and ORS 687.095), which require reporting certain forms of professional misconduct or unsafe behavior.
- Outside of these legal requirements, all disclosures remain confidential within the limits described in our HIPAA policy.
Massage at Wild Hart is practiced within the scope of Oregon law: therapeutic massage and bodywork only. No diagnosis, prescription, or medical treatment is offered.
Any inappropriate or sexual behavior is not tolerated. If such behavior occurs, the session will end immediately without refund. At the therapist’s discretion, the incident may be reported to the Oregon Board of Massage Therapists or other appropriate authorities. Harassment of any kind will result in refusal of future services.
Wild Hart Massage is committed to providing a safe, welcoming, and inclusive environment for all people. We do not discriminate based on protected classes as defined by Oregon and federal law, including but not limited to race, color, national origin, religion, sex, sexual orientation, gender identity, age, marital status, disability, or veteran status.
We reserve the right to refuse or discontinue service to anyone if:
- Their behavior is abusive, threatening, harassing, or unsafe.
- They violate professional boundaries or clinic policies.
- They arrive under the influence of drugs or alcohol in a way that compromises safety.
- Hygiene or health concerns make providing massage unsafe for the client or therapist.
If a session is ended for these reasons, the full session fee will be charged with no refund. This policy exists to protect the safety, comfort, and dignity of all clients and practitioners.
Wild Hart Massage respects your privacy. Your health information is protected under HIPAA (Health Insurance Portability and Accountability Act).
Use of Information:
- Your health information is used to plan and provide massage therapy services.
- Information may be shared with other healthcare providers only at your written request.
- No information is disclosed or sold to third parties for marketing.
Confidentiality & Security
- Records are stored in HIPAA-compliant software.
- Access is limited to your massage therapist.
- You may request copies of your records or ask for corrections.
Legal Disclosures
- In rare cases, Wild Hart Massage may be required to disclose records if compelled by law, such as through a valid subpoena, court order, or mandatory reporting requirement.
- In such cases, only the minimum necessary information will be released.
Your Rights
- You may request restrictions on how information is used.
- You may revoke consent in writing at any time. Care will not be affected if consent is revoked.
